Technology That Disappears.Client Time That Doesn't.
VanderNet helps wealth management firms protect client data, support their compliance program, and give owners, advisors, and operations teams dependable technology they don't have to think about. Every update is reviewed before it reaches you. Every critical issue has someone on it until it's resolved. You serve your clients. We handle the technology.
Not every wealth management firm answers to the same regulator. Whether your firm is SEC-registered, state-registered, or a FINRA member, the rules that apply depend on your registration and business activities. VanderNet works with your compliance professionals to identify your firm's specific obligations and build a technology program that supports them.
Free. No obligation. It's a conversation.
Average resolution time is measured across helpdesk tickets for managed clients. Client retention is calculated across active managed service agreements. Engineer experience reflects years in IT and cybersecurity roles across the VanderNet team.

The Real Cost
One Missed Meeting Costs More Than You Think.
Your firm runs on trust and on time. When the network drops before a client review, the cost isn't one lost hour. When a vendor update breaks your CRM right before a quarterly billing cycle, the deadline doesn't move. When an email impersonates a client, the risk isn't an IT ticket — it's the relationship you spent years building.
You didn't become an advisor to manage servers, chase your IT company for a callback, or decipher a custodian's security questionnaire.
You shouldn't have to wonder whether anyone is on it. You need an IT partner who does the worrying, so you never have to.
Before Anything Else
Your Obligations Depend on How Your Firm Is Registered.
Before addressing technology, it is worth being clear about which rules apply to your firm. The obligations are different depending on registration.
- SEC-registered investment advisers and broker-dealers are subject to SEC Regulation S-P, which requires written safeguards for customer information, an incident-response program, service-provider oversight, and supporting documentation. The amended rule's compliance dates have passed — these are current obligations.
- State-registered investment advisers are not automatically covered by SEC Regulation S-P. The FTC Safeguards Rule may apply instead. A separate applicability assessment is required.
- FINRA member firms have additional supervision (Rule 3110), business-continuity (Rule 4370), and recordkeeping (Rule 4511) obligations in addition to applicable SEC requirements.
- Regulation S-ID applies to covered firms that qualify as financial institutions or creditors and maintain covered accounts. Where it applies, it requires a written identity-theft prevention program. Applicability must be evaluated — it is not the same for every RIA.
VanderNet works with your firm's leadership and compliance professionals to determine which requirements apply based on your registration, business model, and provider relationships. This is not legal or compliance advice.
Where It Counts
Four Moments. One Standard.
Moment 01
The Custodian's Questionnaire Arrives.
A due-diligence questionnaire lands on your CCO's desk with a deadline. Nobody is sure which controls are documented, and the answers are scattered across vendors.
With VanderNet
Your technical safeguards are already mapped and documented. We hand your CCO the technical documentation, network architecture diagrams, and evidence your custodian and regulator ask for.
Your custodian's questionnaire should be easy to answer. We make sure it is.
Moment 02
The Email That Wasn't From the Client.
An email that looks like it's from a client asks an advisor to move money. It reads right, it sounds right, and it's sitting in the inbox between two real messages.
With VanderNet
Email security and 24/7/365 monitoring work to reduce the risk before it reaches the advisor. A fraudulent request can look convincing — including when it comes from a compromised real client account. Technical protections reduce the risk, but your firm also needs a clear process for verifying sensitive requests through a trusted contact method before acting, and for following the procedures required by your custodian. If a message raises concern, your team should know where to escalate before taking any action. VanderNet investigates suspected compromise within our service scope and coordinates the technical response with your designated contacts.
When a message looks wrong, your team should know what to do before acting.
Moment 03
The Update Before Quarter-End.
A vendor update goes out right before a quarterly billing cycle and breaks the CRM. The deadline doesn't move.
With VanderNet
Due diligence happens before the update, not after the apology. Problems get caught on our side of the fence, not yours. See our full update policy in the FAQ below.
Moment 04
The Advisor Between Meetings.
An advisor is working from a client's home office or an airport when something stops working. The next meeting is about to start, and they're on hold with a help desk.
With VanderNet
The same layered security follows the advisor: secured devices, monitored access, and phishing-resistant MFA, with support that answers when they're between meetings.
Your advisors should never be the ones troubleshooting.
These are illustrative scenarios based on situations wealth firms commonly face. They are not client case studies.
What Your CCO Actually Receives.
Compliance documentation is only useful if it reflects what is actually operating in your environment. VanderNet provides evidence that connects your controls to your obligations — not just a stack of diagrams.
| Evidence Type | What It Shows |
|---|---|
| System and vendor inventory | What systems are in scope, who manages each, and what data they touch. |
| Access review records | Who has access to what, when it was last reviewed, and what changed. |
| Control descriptions | Written documentation of the safeguards in place and how they are operated. |
| Recovery-test results | Whether backups restore as expected, what was tested, and any open issues. |
| Risk findings and remediation status | Identified gaps, assigned owners, and current status of each. |
| Incident and escalation contacts | Who to call at VanderNet, your custodians, and other providers when something goes wrong. |

Who We Serve
Two Roles. One Standard of Support.
For Firm Owners and Principals
Build a firm that can grow with greater confidence.
Client relationships depend on more than the advisor in the meeting. They depend on reliable systems, protected information, and a team that knows what happens when something goes wrong — before it goes wrong. VanderNet gives you visibility into the technology risks your firm carries and a plan for addressing them in order of priority. When you bring on a new advisor, open a new office, or add a custodian relationship, we help you understand what changes, what needs to be documented, and what your security program needs to reflect.
What that looks like in practice:
- Regular reviews that connect technology risks to the firm's decisions and priorities
- A plain-English summary of what is in place, what is open, and what comes next
- Advance notice before anything significant changes, with your approval required
- A technology plan that anticipates new advisors, new offices, and growth — not one that gets rebuilt every time something changes
For Practice Managers and Operations Leaders
Keep the firm moving with clearer ownership.
Advisor onboarding, access changes, vendor tickets, and quarter-end deadlines all create technology work that lands somewhere. VanderNet helps organize that work with defined ownership and a clear path for escalation. Your team knows who to contact, what is waiting on a software provider, and when to expect the next update.
| Situation | What We Handle |
|---|---|
| A new advisor joins | Device setup, account provisioning, platform access, and MFA enrollment before their first client meeting. |
| An advisor or staff member departs | Coordinated removal of system, application, email, and client-data access. |
| A custodian or vendor ticket is open | We track it, communicate with the vendor, and give you a status update — you don't manage the queue. |
| Quarter-end or billing cycle approaching | Critical periods are logged; changes are held and escalation thresholds are lower. |
| A compliance review or examination is scheduled | We organize the technical documentation your CCO needs before the review begins. |

Platform Support
What Support for Your Platforms Actually Includes.
The wealth management technology stack involves platforms that VanderNet manages at different levels. Here is what support actually means for the tools your firm uses.
What VanderNet manages
- Administration and configuration of identity, access, and devices connected to your platforms
- Security hardening of the operating environment those platforms run in
- Troubleshooting connectivity, authentication, and integration issues
- Coordination with the application vendor when the issue is on their side
- MFA enrollment and device compliance for advisors accessing custodian and portfolio platforms
What VanderNet does not replace
- Application-level administration within your CRM, portfolio system, or order management platform (that remains with your designated administrator or the vendor)
- The custodian relationship itself — VanderNet supports the technology and security questionnaire documentation; the broader custodian relationship has responsibilities outside an IT engagement
If you are unsure where a platform issue sits, contact VanderNet first. We will assess it and coordinate with the right party.

Common Questions
Straight Answers.
Don't see yours? Ask it in your strategy session.
Does VanderNet make us SEC-compliant?
No. We support your compliance with security controls, monitoring, and documentation. Your CCO and counsel own your compliance program.
We're a small firm. Is this built for us?
Yes. We serve independent and regional wealth management firms across a range of sizes. What matters more than headcount is whether your firm has compliance obligations, client data to protect, and advisors who need dependable systems. If that describes your firm, the conversation is worth having. We'll give you a straight answer in your strategy session.
How much does it cost?
Pricing depends on the number of users and locations in your firm and the support you need. We'll walk through it with you in plain terms during your strategy session.
What is included in the environment review, and what does it cost?
The 15-minute strategy session is always free — it's a conversation about your firm, your platforms, and your compliance obligations. If it makes sense to move forward, we conduct an environment review: we map your systems, security posture, backups, and platforms against your regulator's and custodian's expectations, and explain what we find in plain English. The scope of that review and any associated costs are agreed before we begin. From there, we build a plan with clear priorities and a timeline. Nothing starts until you approve it.
Which platforms do you support?
We work inside Microsoft 365, Redtail, Wealthbox, ClientWorks, and other modern wealth management platforms. If you use something else, ask us during your strategy session.
What happens during a security incident?
When something goes wrong, the sequence matters. Here is how VanderNet handles it:
- 1Detection. Our 24/7/365 SOC monitors your environment continuously. An incident may be detected by our monitoring, reported by your team, or flagged by a custodian or vendor.
- 2Assessment. We determine the scope and severity of activity within your managed environment. Not every alert is an incident; not every incident is a breach.
- 3Containment. Where action is needed, we work to contain activity within the environment we manage — isolating devices, suspending accounts, or blocking traffic depending on what we find.
- 4Notification. Your designated contacts receive a clear update: what happened, what we found, what we did, and what comes next.
- 5Recovery. Backups support recovery after a threat is contained. We restore affected systems or data in a prioritized order based on what your firm needs most.
- 6Coordination. For incidents with broader implications, your CCO, legal counsel, insurance carrier, and custodians may need to be involved. VanderNet coordinates the technical response and provides documentation those parties need.
Backups support recovery. They do not replace the containment and assessment steps that come first.
How do you protect advisors who work remotely?
The same layered security follows the advisor — secured devices, monitored access, phishing-resistant MFA, and support that answers when they're between meetings.
How do you handle custodian security questionnaires?
When a custodian questionnaire arrives, your technical safeguards are already mapped and documented. We provide your CCO with the system and vendor inventory, network architecture diagrams, access review records, control descriptions, recovery-test results, and risk findings that custodians and regulators ask for. We organize it before the deadline — not during it. If a questionnaire exposes a gap in your documentation, we help you identify what is missing and what it will take to address it.
Can we switch IT providers during a custodian review or quarterly cycle?
Yes, and we plan the transition around your deadlines. Nothing changes until you approve it.
What happens to our current IT person or provider?
We can work alongside your existing IT person or team, or take over completely. Either way, we plan the handoff so your firm isn't left in the middle.
How does VanderNet manage updates and patches?
For updates we manage, we assess urgency, review potential impact, test where practical, and schedule deployment around your client reviews and quarterly cycles. General updates are held for 30 days — that window gives Microsoft and other vendors time to identify and withdraw updates that cause problems. Security-urgent patches follow an accelerated process and are not held. Where a software vendor controls its own release schedule, we help you assess the impact and coordinate the response. Nothing changes without your awareness, and critical periods are logged in advance so updates are not deployed before a quarterly deadline.
Where do you work?
We serve wealth management firms across Missouri, Arkansas, Kansas, Oklahoma, and the Midwest.
Can I see case studies or talk to your clients?
We don't publish client names — protecting confidentiality is part of the job. If you'd like to speak with a client, we can discuss that at an appropriate stage with their permission. In the meantime, we can walk you through what a typical engagement looks like and what documentation your CCO would receive. You can also read anonymized examples on our
Which SEC and FINRA rules apply to our firm?
That depends on your registration. SEC-registered investment advisers and broker-dealers are subject to Regulation S-P. State-registered advisers are not automatically covered by SEC rules — the FTC Safeguards Rule may apply instead. FINRA member firms have additional supervision, continuity, and recordkeeping requirements. Where Regulation S-ID applies — which is not universal — a written identity-theft prevention program is also required. VanderNet works with your CCO to identify which requirements apply to your firm's specific registration and business model. This is not legal or compliance advice.
How does VanderNet handle advisor onboarding and departures?
When a new advisor joins, we coordinate device setup, account provisioning, access to the platforms they need, and MFA enrollment before their first client meeting. When an advisor or staff member leaves, we work with your operations contact to remove or suspend access to systems, applications, email, and client data on a defined timeline. Both follow a documented process, not ad hoc handling.
What documentation does our CCO receive, and how often?
Your CCO has access to the technical documentation that supports your compliance program: system and vendor inventory, access review records, control descriptions, recovery-test results, risk findings with remediation status, and incident and escalation contacts. The cadence and format are agreed when we build your plan. Before a custodian review or examination, we organize the relevant documentation so your CCO is not assembling it under deadline pressure.
